At Cadeo, we take your privacy seriously. This policy explains what information we collect, how we use it, and your rights regarding your data.
Information We Collect
We collect information you provide directly to us:
- Account information: When you create an account, we collect your email address and any profile information you choose to provide.
- Content: Tasks, notes, projects, recordings, and calendar data you create within Cadeo.
- Communications: When you contact us for support or feedback.
We automatically collect certain information:
- Usage data: How you interact with Cadeo, including features used, AI feature usage, and time spent.
- Device information: Device type (web, desktop, or iOS), operating system, and browser type.
- Last active: The date and time you last used Cadeo, and which platform you used.
- Approximate location: We infer your country from your device's timezone setting. We do not collect your IP address for geolocation, GPS coordinates, or precise location. This is used solely for aggregate analytics.
- Log data: Access times and referring URLs.
AI Features
Cadeo offers AI-powered features including task analysis, meeting preparation, and inbox processing. When you use these features:
- Your content is processed by third-party AI providers (currently Google Gemini) to generate suggestions, summaries, and insights.
- We track AI feature usage (which features are used, response times, and token counts) to monitor service quality and costs.
- You can use local AI processing via Ollama on the desktop app, which keeps your data entirely on your device.
- You can control your AI privacy preferences in Settings, including disabling cloud AI processing entirely.
Recordings and Transcriptions
Cadeo allows you to record meetings and generate transcriptions:
- Audio recordings are stored securely in our cloud storage.
- Transcriptions are processed by AssemblyAI, a third-party transcription service, under strict data processing agreements.
- You can choose to save recordings locally only (desktop app) to avoid cloud storage.
- You can delete any recording and its transcription at any time.
Product Analytics
We use PostHog to understand how Cadeo is used, so we can improve it. PostHog data is hosted in the European Union (eu.posthog.com), independently of where your Cadeo account data lives.
We capture a small, fixed catalogue of events — not every click. The events are:
- Account:
signed_up,signed_in(with sign-in method, e.g. password/Google/Apple) - Activation: first
workspace_created, firsttask_created, firstnote_created(each fires once per user) - Feature use:
calendar_connected,recording_started,meeting_processed(with duration and speaker count),ai_inbox_used - Plan & billing:
feature_gate_hit,checkout_opened,checkout_completed,subscription_cancelled,changelog_shown - Page views: manually triggered page-view and page-leave events within the app (no automatic click-tracking)
We do not capture the content of your tasks, notes, recordings, transcripts, or any personally identifiable input. Your IP address is stripped at ingestion. PostHog person profiles are only created for signed-in users — anonymous visitors aren't profiled.
Analytics is gated by the cookie consent banner the first time you visit. If you decline, no analytics cookies or tracking are written. You can change your choice later by clearing your browser's site data for Cadeo, which will re-present the banner.
In-App Announcements
We may send you in-app announcements about new features, scheduled maintenance, or important updates. These announcements:
- Appear as a notification when you open the app and can be dismissed with a single tap.
- Are stored in your activity feed after dismissal so you can re-read them.
- May contain links to relevant parts of the app or our website.
- Do not contain advertising or third-party promotional content.
How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve Cadeo
- Sync your data across your devices
- Process your content through AI features when you use them
- Send you in-app announcements about features and service updates
- Send you updates, security alerts, and support messages
- Respond to your comments, questions, and requests
- Analyse aggregate usage patterns to improve our product
- Monitor service health and performance
Data Storage and Security
Your data is stored securely on Supabase (powered by PostgreSQL) using industry-standard encryption at rest and in transit. Our infrastructure is hosted in the US East region.
We retain your data for as long as your account is active. You can export or delete your account and all associated data at any time from Settings.
Support Access
If you need help troubleshooting an issue, you can enable a "Support Access" toggle in Settings. This allows our support team to view your workspace data (tasks, notes, projects) in read-only mode to help diagnose problems. Support access is:
- Entirely opt-in — disabled by default
- Read-only — our team cannot modify your data
- Revocable at any time by toggling it off
- Only available to workspace owners
Data Sharing
We do not sell your personal information. We may share your information only in the following circumstances:
- With your consent
- With service providers who assist in operating Cadeo, including:
- Supabase: Database and authentication (US East region)
- Vercel: Web hosting
- PostHog: Product analytics (EU region, eu.posthog.com) — see Product Analytics section above
- Google Gemini: AI features (when cloud AI is enabled)
- AssemblyAI: Audio transcription
- Stripe: Payment processing (US-based) — payments data (card details, billing address) is handled by Stripe directly and never stored on Cadeo's servers
- Resend: Email delivery
- If required by law or to protect our rights
Because some of our service providers are located in the United States, your data may be transferred outside your country of residence. These transfers are covered by standard contractual clauses and each provider's own compliance commitments.
Workspace Sharing
When you share projects, notes, or invite team members to your workspace:
- Shared content is visible to the people you share it with.
- Workspace members can see each other's profiles (name and email).
- You control who has access and can revoke sharing at any time.
Your Rights
You have the right to:
- Access and export your data (available in Settings)
- Correct inaccurate information
- Delete your account and all associated data (available in Settings)
- Control AI privacy preferences
- Disable support access
- Opt out of marketing communications
Cookies and Local Storage
We use two kinds of browser storage:
- Essential cookies and local storage to keep you signed in, remember your preferences, and store your cookie-consent choice. These are always written — without them Cadeo cannot function.
- Product analytics cookies and local storage (PostHog) that are only written after you accept via the cookie consent banner. If you decline, no analytics cookies are set.
We do not use third-party advertising cookies, retargeting pixels, or cross-site tracking.
Children's Privacy
Cadeo is not intended for children under 13. We do not knowingly collect information from children under 13.
Changes to This Policy
We may update this policy from time to time. We will notify you of significant changes through in-app announcements or by email.
